Health Promotion: The Administrative Assistant plays an integral role in providing administrative supports to the programs of the Health Promotion Department, including but not limited to, Live Well | Bien Vivre, Stroke Navigation, Resuscitation and Professional Education Conferences. The outcome is to support the delivery of programs so that people of New Brunswick are impacted by the work of the Foundation, in such a manner that the burden of chronic disease is reduced.
THE OPPORTUNITY
The Heart and Stroke Foundation of NB is seeking a dedicated Administrative Assistant to join our team on a maternity leave contract. The ideal candidate will be responsible for managing incoming and outgoing phone calls and emails as well as administrative support to data management and collection, report generating, communications and operational functions.
QUALIFICATIONS
Education
Post-Secondary Education
Minimum 2 years experience in a related field or
An equivalent combination of education, professional training, and experience.
REQUIREMENTS
Bilingualism (English and French) is an asset.
Must possess a valid Driver’s License.
Clear criminal record.
Strong computer literacy, including effective working skills of entire MS Office Suite, including Excel, PowerPoint and Forms. Experience with Google Drive, Team Desk, Survey Monkey and Adobe Acrobat are an asset.
Excellent organizational, time management, interpersonal, and overall communication skills.
Strong independent work ethic with ability to organize workload by priorities, meet timelines to achieve deliverables.
High degree of resourcefulness, flexibility, adaptability, and creativity.
Politically and culturally sensitive, with strong morals and ethics, along with a commitment to privacy.
KEY RESPONSIBILITIES
Work collaboratively with the Director, Health Services to provide coordinating and administrative support to programs of the department by:
- Preparing, maintaining, and securing program files, databases, contacts list, spreadsheets, budgets and correspondences
- Supporting the communications outcomes for programs, including but not limited to websites maintenance, social media channels and other communications collateral
- Supporting the creation of program materials, including but not limited to, internal and external reports, training tools, and presentations
- Assisting with data collection of identified key performance indicators, for use in quarterly, bi-annual and annual program reports.
Provide confidential administrative assistance to the Vice President, Health Promotion by:
- Assisting in the successful planning and hosting of health promotion meetings, workshops and conferences
- Preparing communications, presentations, documents, and reports as needed
Develop own professional growth and development within the priorities and limitations of the Foundation.
- Makes decisions, within an ever-changing set of circumstances, in pursuit of the mission and goals and objectives of the Foundation.
- Positively promote and maintain the vision, mission, and policies of the Foundation and the people it serves and supports.
- Maintains confidentiality of Foundation affairs and any records pursuant to Foundation policy and signed agreement.
- Undertakes special projects and other tasks as assigned.
